Stop polling the group chat. Learn how to collect and track band-member availability so you always know who's free before you book a gig or rehearsal.

If you're asking "who's free on Friday?" in the group chat, you're doing it the hard way. Here's a better approach.

## The problem with availability polls

When you need to know if the band can do a gig, you usually ask in the group chat. Some people reply immediately, some take a day, and someone always misses the message entirely.

By the time you have an answer, the opportunity may be gone. And the next time you ask, you start from scratch—nobody remembers what they said last time.

## Switch to "available by default"

An available-by-default calendar lets members record dates they cannot make. It reduces repeated polling, but a clear date means no conflict has been recorded, not that every player has accepted the gig.

Agree how far ahead members should keep the calendar current. Check the required line-up and collect explicit confirmations before making a firm commitment to a venue.

## Use a shared availability calendar

A shared availability calendar lets every member mark their unavailable dates in one place. When you're planning a gig or rehearsal, you can see which dates have conflicts and which are clear.

The calendar should be colour-coded: green for full band available, yellow for partial, red for conflicts. You can see at a glance which dates work.

## Let members add context

A simple "unavailable" flag is good, but a short note is better. "Late shift" or "out of town" tells the band why someone can't make it and whether the conflict might be flexible.

Members can also mark specific times—maybe they're free after 8pm even though they can't do a 6pm load-in.

## Check before you book

When a venue offers a date, check the calendar, arrival time and required line-up, then ask the musicians to confirm. If a response is missing, keep the booking provisional rather than interpreting silence as acceptance.

If there is a conflict, discuss an alternative date or replacement player before agreeing to the show. Record the final decision where everyone can find it.

## Frequently asked questions

### What if a member never logs their availability?

Treat an unmarked date as no recorded conflict, not an RSVP. Agree a deadline for updating availability and confirm the required players before accepting a gig.

### Does this work for deps and part-time members?

Yes. Invite anyone to the band and they can log their availability the same way. You can add and remove members at any time.
