How to use these examples

These are illustrative drafts, not real correspondence or evidence of bookings. They use placeholders for names, venues, dates, fees and audience figures. Only include previous gigs, equipment and audience claims you can substantiate.

Use the separate booking-email templates guide when you need a short reusable structure. This page explains how the message changes for different booking situations.

Example 1: A pub or cover-band enquiry

Subject: [Band name] — live music enquiry for [date or date range]

Hi [booking contact],

We are [band name], a [line-up and style] act based in [area]. Your [specific live-music night or room] looks relevant to our set. Here is a short live video and our EPK: [links].

We are checking availability for [date range] and can offer [accurate set format]. Could you let us know your booking process and whether this might suit an upcoming night?

Thanks, [name] · [band] · [booking contact details]

Why this approach helps: it gives the booker a relevant reason for the enquiry, evidence of the live act and one clear question. Discuss the fee and production requirements before agreeing to play.

Example 2: An original-music support slot

Subject: [Band name] — support-slot enquiry for [show or date range]

Hi [booking contact],

We are [band name], a [genre and line-up] act from [area]. We noticed [relevant show or programming detail] and would like to ask about suitable support opportunities.

We can perform a [set length]-minute original set. Here are [live video] and [music or EPK link]. [Optional: one verified recent show or relevant audience fact.]

Are you accepting submissions for [date range], and is there anything else you need from us?

Thanks, [name] · [band]

Why this differs: a support enquiry should fit the programme and available slot. Do not invent ticket sales, audience size or previous appearances to strengthen a pitch.

Example 3: A brief follow-up

Subject: Re: [original enquiry subject]

Hi [booking contact],

Following up on my enquiry sent [date] about [band and proposed date range]. We are still interested, subject to confirming member availability. Our EPK is here: [link].

Is this relevant to your current programme, or is there a better time or process for us to use?

Thanks, [name] · [band]

Why this helps: reply in the original thread and add only useful context. Follow any published submission instructions. After a reasonable follow-up, move on unless the venue invites further contact.

Example 4: Confirm the agreed details

Subject: Booking details for confirmation — [band] at [venue], [date]

Hi [booking contact],

Thanks for discussing the show. Please confirm that the following matches our agreement:

Date and venue: [details]. Arrival and soundcheck: [times]. Performance sets and breaks: [details]. Fee, payment timing and method: [agreed details]. PA, backline and sound responsibilities: [details]. On-the-day contact: [details].

Please flag any corrections before we share the final schedule with the band. We will also complete any separate booking paperwork you require.

Thanks, [name] · [band]

Why this matters: two 45-minute sets do not automatically mean a continuous 90-minute performance. Write the breaks and production responsibilities explicitly, and keep the booking tentative until the essential details are agreed.

Check the message before sending

Check the recipient’s published booking process, replace every placeholder, test the EPK link and confirm that your band can cover the proposed date. Keep a record of the conversation so another member does not send the same pitch again.

The Band Planned can help draft a pitch from your act and venue context. Review the names, factual claims and offer yourself before sending. A draft or researched venue lead is not a booking.

FAQ

Should I send the same email to multiple venues?

You can reuse the template, but personalise each one. Mention something specific about each venue. A mail-merge email is obvious and most venues will ignore it.

How long should my booking email be?

Short enough to read in under a minute—three or four paragraphs. If the venue wants more information, they'll ask or click your EPK link.
