Plan your song order, keys and performance cues in Excel, Numbers or Google Sheets. Share the same running order with everyone before rehearsal.

Step 1: Check availability

Before you propose a rehearsal date, check the band's availability calendar. Pick a date that works for every member before you book the room.

If you're using The Band Planned, you can see conflicts at a glance and choose a date that's clear for everyone.

Step 2: Book the rehearsal space

Once you have a date that works, book the rehearsal room. Note the cost—it's a band expense you can track in the finance section.

Confirm the booking time, the room address and any access instructions (key codes, parking, loading bay).

Step 3: Create the rehearsal event

Create the rehearsal in your shared calendar with the date, start time, end time and location. Add notes about what to bring and what to work on.

Members get an RSVP prompt so you know who's coming before you commit to the room booking.

Step 4: Share the setlist

Decide what you're working on and share the setlist before the rehearsal. Members can learn their parts in advance so you spend rehearsal time playing, not teaching.

Upload charts, lyrics and reference recordings to the shared files section so everyone has access.

Step 5: Send reminders

The day before the rehearsal, make sure every member has the details. If you're using a shared calendar with sync, members will have the event on their personal calendar already.

A quick reminder in the group chat is fine—"rehearsal tomorrow at 7, the address is in the app"—but the details should already be in the workspace.

Step 6: After the rehearsal

Log the rehearsal room cost as an expense and note who paid. If you recorded the rehearsal, upload the recording to the shared files section.

Note any decisions made—songs to add, songs to drop, changes to the setlist—so everyone remembers next time.

FAQ

How often should a band rehearse?

It depends on the band. Regularly gigging bands often rehearse weekly or fortnightly. The key is consistency and making sure every member can make it.

What if someone can't make the rehearsal?

Check availability before booking. If someone has a conflict, pick a different date. If you must rehearse without them, share the recording and notes afterward.
