A band setlist template you can take from rehearsal to the gig
Build a clear running order, keep the right keys and cues beside each song, and give everyone the same version before the show.
Opens in Excel, Numbers or Google Sheets. No account is required to download it.
Start with four useful columns
The template contains Title, Artist, Song Key and Notes. Add one song per row in performance order. Title is required; the other columns are optional. Keep the header row unchanged if you want to import the file into The Band Planned later.
Use Song Key for the key your band will actually play, especially when your singer needs a different key from the recording. Notes are short performance cues: who counts in, a shortened ending, a tuning change or the point where the next song starts. Use your own notes rather than copying lyrics you do not have permission to share.
Plan the room and running time
Decide what this set is for before choosing songs. A quiet early set, a wedding dance set and an original-band support slot need different pacing. Put a dependable opener first, group songs with sensible transitions, and choose a clear ending.
Time your own arrangements during rehearsal. Ten songs averaging four minutes take 40 minutes before introductions, tuning or applause. For a 45-minute slot, that leaves five minutes for transitions and other pauses. A track's recorded length may not match your live version.
The download deliberately keeps the four columns supported by the app's bulk importer. Add durations and breaks in the setlist editor after importing if you want the app to calculate timing. Keep any separate timing worksheet outside the file you upload.
Use rehearsal to test the order
Play the transitions as well as the songs. Check whether a guitar change, a long introduction or two demanding vocal songs together interrupts the set. Record one short cue that helps the whole band, rather than filling the page with a rehearsal transcript.
Agree which songs are optional if the running time changes. Keep a shorter ending ready, and confirm with the organiser before extending a set. Review the final order with every player, including any replacement musician.
Import the template into The Band Planned
Open the CSV in your spreadsheet app, enter your songs and save it as CSV UTF-8 or Excel (.xlsx). For an Excel upload, put the songs on the first worksheet. The importer accepts up to 300 songs.
In your band's setlist workspace, open Bulk import, choose Upload bulk song template and select the file. Name the setlist and review the preview before creating a draft. Check the song order, keys and notes, then save the setlist for your band.
A repeated song can stay in the order. When a song matches an existing library entry, the importer keeps its existing arrangement and duration. A supplied Song Key applies to this setlist; a blank key uses the library key. Notes become performance cues for this setlist.
Share a version everyone can recognise
Give the setlist a useful name, such as the venue and performance date. After saving, check the published version before going live. Download a PDF or an offline stage copy when you need one, and test the saved copy on the device you will use at the venue.
A downloaded copy does not update itself when you change the setlist online. Save your changes and download it again before leaving for the gig. Keep a printed or saved backup if your performance depends on having the running order available.
Try the workflow before moving your whole repertoire
Begin with one short set. Add a few songs, review the cues with a bandmate and check that the result is readable on a phone. Once that works for your group, import the rest of the repertoire in manageable batches.
The template is free to download. Using your own band workspace requires an account; The Band Planned offers a 14-day trial without card details, and one active plan covers a band or act with invited bandmates joining free.
FAQ
Can I use the template without The Band Planned?
Yes. Download the CSV and use it in Excel, Numbers or Google Sheets. You only need an account if you want to import it into your band workspace.
Can I include song durations in the import?
Keep the four supported columns in the import file. Add durations in the app after importing. Existing matching library songs keep their stored durations.
Does an offline copy update when we change the set?
No. Save your changes, then download a fresh PDF or offline stage copy and check it before the show.
